The Service Sales Coordinator (Technical Services) plays a key supporting role in service sales operations for ANZ/NZ. This position is responsible for coordinating service contract renewals, managing end-to-end order processing, and ensuring accurate documentation and data integrity across systems such as SAP, ServiceMax, and SFDC ACE.Acting as a key liaison between customers, country sales teams, and internal stakeholders, the Service Sales Coordinator ensures smooth operational execution, timely invoices, and high-quality customer support. This role also contributes to sales funnel management, revenue reconciliation, and data clean-up initiatives to maintain the accuracy of installed base and warranty records.
Success in this role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities independently. The coordinator must be a proactive team player with excellent communication skills and a customer-centric mindset.

Key Responsibilities
Sales Operations & Contract / Order Processing
Coordinate and track service contract renewals for ANZ/NZ accounts.
Prepare Sales Level Agreements (SLAs) and send service contract materials to customers (including offer letters, terms and conditions, and quotations) to drive timely renewals and conversions of service contracts.
Review and coordinate customer purchase orders, discounting, billing plans, and pricing agreements with the country sales team to ensure accuracy and compliance.
Manage end-to-end order processing activities, including:
Instrument purchase orders and warranty set up in SAP-CRM
Service contract renewals, warranty-to-contract conversions
Time & Material (T&M) repair order requests, case and work order creation in ServiceMax, and service confirmation in SAP-CRM
Preventive Maintenance (PM) management
Coordination with Logistic and Sales Team on Deliveries and other logistical matters
Maintain organized documentation of purchase orders, invoices, and contracts to support traceability and compliance.
Customer Support & Communication
Serve as a key point of contact for customer inquiries related to orders, deliveries, and after-sales support.
Collaborate with internal teams to ensure alignment and support smooth operational execution.
Assist service sales with funnel management and updating sales opportunities in ServiceMax
Assist Finance with accurate invoice generation for timely revenue recognition and advise on monthly service revenues reconciliation and accruals financial processes
Respond to ad-hoc requests from customers and Field Service Engineer teams for T&M repair orders, work order case creation and PM scheduling.
Coordinate with Logistics & Sales Team on delivery and operational matters
Actively participate in team calls to facilitate communication and resolve issues with internal stakeholders.
Perform other ad-hoc duties as required to support team and business needs
Data Accuracy & Documentation Organization
Management of Install Base Database in ServiceMax and SAP systems
Work with Data Analyst to participate in data clean-up initiatives to improve accuracy of installed base and warranty records.
Ensure timely and accurate data entry in systems to maintain the integrity of contract records, including PM plan frequencies, work order case creation, and renewal data updates.
Requirements
Minimum Diploma and Bachelor’s degree in science, business, or equivalent.
Minimum 2-3 years of experience in a multinational environment with proven sales support experience supporting service sales and managing service contracts.
Experience in customer service, service operations and preparation of commercial documentations e.g. service level agreement, quotations etc. are required.
Proficient in MS Office software (Word, Excel, PDF), SAP, ServiceMAX and SFDC ACE tools.
Detail-oriented, well-organized, and results-driven, with a strong ability to manage multiple priorities.
Excellent verbal and written communication skills; fluency in English is required.
Must be able to work independently with minimum supervision.
Strong interpersonal skills, a collaborative mindset, and a team-oriented attitude.
Experience in supporting service sales and managing service contracts and working in a commercial environment and/or healthcare industry is a plus.
